Rental Terms

1 — Introduction
These General Rental Terms govern all equipment rental services provided by Vanilla Movies.
Any rental request implies full acceptance of these terms.
2 — Scope and Clients
Vanilla Movies provides equipment rental services to professionals, companies, freelancers and productions.
Vanilla Movies reserves the right to accept or refuse any request at its sole discretion.
3 — Rental Request and Booking
Submitting a rental request does not constitute a confirmed booking.
A booking is only confirmed after:
- Written confirmation by Vanilla Movies
- Acceptance of the quote
- Payment and/or deposit, if required
4 — Prices and Rental Duration
All prices are expressed in euros, excluding VAT (HT), unless stated otherwise.
Rental duration and conditions are defined in the confirmed quote.
5 — Payment
Payment terms are specified in the quote.
In case of late payment, penalties may apply, as well as a fixed recovery fee of 40 € in accordance with French commercial law.
6 — Security Deposit
A security deposit may be required depending on the equipment, rental value and client profile.
The amount is determined in the quote and may reach up to 35% of the replacement value for high-value equipment.
7 — Required Documents
Clients may be required to provide:
- Valid ID or passport
- Proof of address dated less than three months (or more recent if requested)
- Company registration (Kbis or equivalent)
- VAT/SIRET number if applicable
- Insurance certificate if required
8 — Insurance and Coverage
Clients are fully responsible for the equipment during the rental period.
Proof of insurance may be required.
If no valid insurance is provided, Vanilla Movies may apply a coverage or risk handling fee, typically 8% of the rental amount.
This fee does not constitute an insurance policy and does not release the Client from liability.
9 — Pickup and Return
Equipment pickup and return take place by appointment only at the agreed location.
The client must ensure that all items are returned in full and in proper condition.
10 — Delivery
Delivery may be arranged upon request, subject to availability and additional fees.
11 — Use of Equipment
The equipment must be used professionally and in accordance with its intended purpose.
12 — Difficult Conditions
Use in hazardous environments (water, sand, dust, extreme temperatures, aerial or marine use, stunts) requires prior written approval.
13 — Ownership and Tracking
All equipment remains the property of Vanilla Movies.
Some equipment may include identification labels or tracking devices, which must not be removed or disabled.
14 — Damage, Loss and Theft
Any damage, loss or theft is the responsibility of the client.
Repair or replacement costs will be charged accordingly.
Missing accessories will be invoiced at replacement value.
15 — Late Return
Late returns may be charged at the daily rental rate.
Additional damages may apply if delays impact subsequent bookings.
16 — Cancellation
Cancellation conditions are as follows:
- More than 72h before pickup: no fee
- 72h to 48h: 25%
- 48h to 24h: 50%
- Less than 24h or no-show: 100%
17 — Use Outside France
Any use of equipment outside France requires prior written approval.
18 — Liability
Vanilla Movies shall not be held liable for indirect damages, production losses or misuse of equipment.
19 — Personal Data
Personal data is processed in accordance with the Privacy Policy.
20 — Governing Law
These terms are governed by French law.
Any dispute shall fall under the jurisdiction of the Commercial Court of Paris.
